  • Public Folders - how to avoid explosion of information

    Hi,
    We are facing a very typical challenge: Our users use Public Folders (Exchange 2010) to share and archive business mails, after few years of usage the public folders’ size became huge and unmanageable.
    My questions are:
    1. Can you recommend a better mechanism to store business mails for sharing and archiving?
    2. How do you manage the policy and life-time of Public Folder items? Can u recommended some third party product which makes the PF management easier with archiving capabilities?

    You should look at journaling and retention policies to manage archiving, plus Exchange archive mailboxes (all available with Enterprise CALs)
    Also Inspect-Inform-Implement:
    Inspect PFs and identify worst culprits
    Inform users the folder will be deleted by x date to move content to a proper location
    Implement your threat on schedule (don't tell them about the hidden backup copy, though)
