    Hi

    I know most of this has been covered before, but I just want to check, we are running SBS 2008 with the built in exchange 2007 that comes with it...

    The regime before I joined kept emails from 8 years (!) previous and needless to say their mailboxes were oversized and inefficient. I have now archived each year per person to pst. Consequently this has now left a large amount of white space adding up to over 66% of the overall size of the mdb...

    Also the other reason is because we use secure online backup and this oversized mdb is taking up valuable space in our data quota. Therefore I wanted to check the easiest and safest way to remove this white space, either by off line defrag or mailbox move method and check that both these methods both can be used against SBS 2008/Exchange 2007 setup...??

    Your first mistake was archiving to PST files.
    That causes bloat, as a PST file uses up to 3x the same space that the content does in Exchange. Then you take in to account that PST files corrupt very easily, cannot be backed up in any way that guarantees the data integrity and you simply have a mess.
    PST files are NOT an archiving solution - if the content is of any value then you do not use PST files.

    To remove white space in an Exchange 2007 system the most efficient manner is to create a new Storage Group and database, then use move mailbox to move all the mailboxes to the new database. Once complete, drop the original and restart the Exchange services.
    Zero risk, zero downtime.

    Offline defrag is not risk free and will usually result in an extended period of downtime.

    The fact that you are using SBS 2008 has no impact whatsoever.

      Thanks for the reply.

      I was surprised to see that you are quite so scathing of PST files, can I ask what you would use for email archiving instead..? Something similar to MailStore..??

        Given that storage is cheap, leaving the content in Exchange is the best option. It will use less space that way and is available to the users easily. You have no limits on Exchange 2007 (well 8tb).

        If you do need to retain the data then look at something like GFI Mail Archiver. However that will still require storage etc, because it uses a database - SQL usually, which will need licencing.
