  • How to change reply e-mail

    Hi everyone,

    can somebody tell me how to modify the reply e-mail on Exchange server 2003.

    We have a team communicating on a daily basis with our clients by e-mail, but from the clients point of view there must be only one e-mail address.

    For security reason the server is connected to our ISP by private IP and is not on the web. We read trough isp POP service and distribute mail to all members of the team using Exchange rules. This part works fine.

    Mail readed from [email protected] goes to [email protected]l, [email protected]l ...

    The problem comes with sending or replying to e-mail. Exchange buid outgoing address with username and isp domainname. In that way, mail sended by usr1 goes to [email protected]. This e-mail does not exist; usr1 is internal. So replies does not reach us.

    I am looking in a way to change "Reply e-mail" for [email protected] so that all clients could see the same e-mail in the "From:" field.

    You could use another approach:

    Create a public folder, mail-enable it, give it the "main" email address ([email protected]) and give all the required users the "send as" permission to the folder. Then they will be able to add the "from" field to their messages and send as [email protected]

    You could also do this with a separate mailbox by creating the info user, mailbox-enable it, give it the "main" email address ([email protected]) and give all the required users the "send as" permission for the info user. Then they will be able to add the "from" field to their messages and send as [email protected]

    Both approaches will work, and each has its benefits.

      Hi Daniel,

      great thanks for your prompt answer.

      the user [email protected]l has been created during the installation and his email is [email protected]. The e-mail address [email protected] exist so that the structure is already in place.

      However I don't know how modify the Send As attribute.

        For a User open ADU&C, from the view menu select Advanced Features. Browse to and right click the user and select Properties, select the Security tab. Grant the appropriate group or users the Send As permission.

        For a Public Folder open Exchange Manager, browse to the specific folder (Administrative Groups\<group name>\Folders\Public Folders\<folder name>), right click and select Properties, select Permissions and click on Directory Rights.... Grant the appropriate group or users the Send As

          Hi Daniel and Jeremy,

          thanks for your advises. Evething works perfectly.

          For that people chould never forget to had [email protected] in the from field, I added the following macro linked to a button 'NewMail'.

          Sub NewMail()
          Dim objOLApp As Outlook.Application
          Dim NewMail As Outlook.MailItem
          Set objOLApp = New Outlook.Application
          Set NewMail = objOLApp.CreateItem(olMailItem)
          NewMail.SentOnBehalfOfName = "[email protected] "
          NewMail.Display
          End Sub

            Thanks for sharing. Could you also post the steps you took in order to link the macro to the new mail button? I'm sure people would like to be able to learn that from reading this post.

              Automatic Reply e-mail Button procedure

              To create a new macro:

              1. In Outlook, point to Macro on the Tools menu, and then click Visual Basic Editor.
              2. In the Project window, double-click the module you want to contain the macro.
              3. On the Insert menu, click Procedure.
              4. In the Name box, type a name for the macro. The name cannot contain spaces.
              5. Click OK.
              6. The template for the macro subroutine appears in the code module window.
              7. Type the code you want to run in the body of the subroutine.

              In the VB Editor, insert following lines between Sub and End Sub :

              Sub NewMail()
              Dim objOLApp As Outlook.Application
              Dim NewMail As Outlook.MailItem
              Set objOLApp = New Outlook.Application
              Set NewMail = objOLApp.CreateItem(olMailItem)
              NewMail.SentOnBehalfOfName = "[email protected] "
              NewMail.Display
              End Sub

              Save VB object and go back to Outlook

              Goto View | Toolbars | Customize

              Click on Macros then to NewMail macro.
              Drag the macro to the tooolbar.
              Right click to change the appearance of the button then Close Cutomize box.
