    Hi all,

    This is for Exchange 2003 with Outlook 2003 running on the client.

    We require an auto responder to our sales email address, nothing new there then. The problem I am having is it needs to be pretty and support HTML formatting. I can setup a client or server rule linking to an OFT (which must be saved as plain text) but that is apparently not good enough.

    From my reading it looks like I could potentially setup an auto reply rule in Outlook 2007+ that will support the HTML formatting.

    We are happy to pay for some software here and would rather it be a server side rather than client side operation so that if the sales email machine is not turned then the sender will always get the message back.

    There are tons of third party applications that can do the auto replies for you. However I don't encourage their use. An auto reply can easily create an email loop. That will crash a server.

      Not true. Third-party software usally has looped message protection. I am currently trialing Exchange Rules Pro by codetwo for email auto-replies on Exchange and the entire exchange server administration. so far i'm veryy impressed with the software. you can configure a loop message blocker - so that two servers won't start an email auto-responders war. Unfortunately, it does not support exchange 2003 only exchange server 2007 / 2010.

        No loop protection software is 100% effective. Anyone who tells you otherwise is deluded. It only takes one email to come back malformed and you will have a loop.
        Third party software can reduce the chances of doing so, which Exchange cannot, so if becomes a "must have" and sod the consequences then a third party application must be used. I wouldn't trust a native Exchange auto reply.

          Why do you say so it's not 100% effective. The loop protection is simple..

            No solution that does anything automatically is 100% effective.

            While that screenshot would seem to put a stop to it, it isn't exactly clear what it means.

            If it means it only sends 10 auto responses at all per hour, then if you are in a high traffic site then that is close to useless.
            If it means it only sends 10 auto responses to a certain email address per hour, then that isn't 100% effective. I deal with a very large company all the time, and their auto replies can come from one of a number of email addresses.

            My stance hasn't changed - auto replies are a bad idea, even with third party software.

              I contacted their tech support and asked about this thing. Here's what they say:

              [...] the frequency of sending auto-responders refers to each email message that triggers them. In other words, if you have the program configured to send 10 auto-replies per hour, it will send 10 messages per hour to each of the senders who triggered them as it treats each email address individually. We have been also requested to enable users to change the frequency to hours or days and this might be implemented in the next update [...]

              I tested it adn it works the way they say. I still don't know what makes you feel it's a bad idea..

                for the sake of completeness to this thread we bought a copy of office 2007 for the user concerned. then setup an auto reply (server) to reply to any message addressed to the [email protected] email account, which was being forwarded to this user. it supports the rich text that was required. also had to enable the enable auto reply tick box on the exchange system manager -> global settings -> internet message formats -> right click * -> properties -> advanced "enable automatic replies".

                apprantly not best practice to do this as you can get into auto loops but it works for us.
