  • Send incoming mail to multiple users

    Hello,

    I am fairly new to the exchange side of Microsoft Products. I am trying to set up so mail that is sent to [email protected] is also sent out to [email protected] and [email protected]. I can't use distribution groups because the accounts already exist. I tried searching and everything I found points to distribution groups. Can someone please help point me in the right direction?

    If the incoming email is addressed to Bob then create a distribution group with the other 2 users in it and then setup forwarding to that distribution group by going to Exchange General -> Delivery Options in Active Directory Users and Computers. Make sure you tick the box for deliver messages to both forwarding address and mailbox or Bob will never get any email.

      That would work for the example I gave but I need it to be done differently. This is an example of what I need:

      Incoming Bob goes to Sarah and Jimmy.

      Incoming Sarah goes to Bob and Jimmy

      Incoming Jimmy goes to Bob and Sarah.

      These users currently have user accounts.

      My worries are if I create a forward from Bob to Distribution Group Sarah and Jimmy) and then I have Sarah's email forwarding to her distribution group: ( Bob and Jimmy), will this create a loop and result in duplicate emails?

      Any ideas on the best way to set this up?

        Can you not just share mailboxes so each can see the other two?

        Alternatively, create "internal" and "external" boxes:

        BobExternal forwards to BobInternal, SarahInternal, JimmyInternal

        SarahExternal forwards to the same 3 (and UncleTomCobley et.al.)

        and so on

        You could probably do something with the "From" address (or the "reply to" option) so outgoing emails appear to relate to the external accounts

          OK, plan B.

          Give each user a new SMTP address E.g. bob.smith, jimmy.jones etc and set those as each users primary email address. Remove the original primary email address and then create one distribution group containing the 3 user accounts and with all three of the original SMTP addresses assigned to it.

            You guys are making this difficult for yourself.

            Create a group for each set of users who need to receive the email. For example "Forward from Bob" will contain the other two users, Forward from Sarah will contain the other two etc.

            Then on each account, use the forward option in AD to forward a copy of the email to the relevant group.

            Job done, no account changes required.

              Will this cause loops?

              Email from Bob to Sarah gets forwarded to Bob and Jimmy, then triggers forwarding again?

                Shouldn't do because Exchange will catch the loop. It would only cause a loop if the message goes outside.
