  • Auto Reply for terminated account?

    I am wondering what is the best practice for when an employee leaves the company and wishes to have an auto reply setup for emails that are directed towards there account?

    Uh... DENIED.

    When an employee leaves the company, the email account they leave behind belongs to the COMPANY, not to them. It should be disabled for a nominal period and then deleted. They have no right to consume company resources after they have left for any reason - and sending out auto-replies to emails consumes resources. If it was a hot salesman leaving, he could be getting 300 emails a day; and using those auto-replies to direct his current and prospective clients to his new employer, losing you business.

    This request should absolutely never be agreed to under any circumstances.

      That is not the case in this situation, we are controlling the auto replies and mainly using them to let people know that someone else is taking over this persons responsibilities...

        I usually move the SMTP address to another account and then drop the original account. Another option would be to use the OOTO system.

          Add the former employee's email box to the Outlook of whomever is taking over their responsibilities. That way, they can reply with their own email address and personally tell the recipient what's going on.
