  • mailbox size and monitoring users email

hey guys...am new to exchnage and i just set up exchnage 2003....i want to limit my users mail box to 2GB do i set that in MAILBOX store properties??? or where? and if i the users email is going to their PST and OWA were is it on the server??? and my boss wants me to monitor whats being sent and incoming mail...so if i can monitor it by reading or seeing whats going in and out? and if the user deletes it in his PST or OWA does that wipe it off the exchnage server?

Re: mailbox size and monitoring users email

You can either set the mailbox restrictions on each mailbox in ESM, or on the store. Best practise is to set it on the store at the maximum size then if you want to have lower limits for specific users then you set it on each mailbox.

If the email is on OWA then it is store in the mailbox.
If the user has set their Outlook to store the email in a PST file then it is removed from the server. However having email delivered to a PST file also means that they cannot use shared calendars as the information is stored locally.

Before you start monitoring email you need to check that you are legally allowed to do that. Just because the boss has told you to does not mean you can. Depending on location and business type you may not be allowed to monitor email without written permission and without some restrictions on the access.
What you could do is enable journaling. That will store email in another mailbox on the server. Then it wouldn't matter what the users do with the messages you will have a copy of it. However that mailbox can get large very quickly, so investing in something that can manage it such as GFI Mail Archiver is a good option.

Re: mailbox size and monitoring users email

Outlook is just a client to Exchange. If a user changes something in outlook then it will be reflected on the server and therefore OWA. That is how it is supposed to work. It is just stored with everything else in the database.

As said before if you can see it in OWA is stored on the server itself in either private or public store. For the location you need to use ESM
