  • Scheduling resources (newb alert!)

    Hi folks,

I have an Exchange 2000 server with several public folders setup, and inside one of those folders is a whole slew of conference room calendars for folks to schedule meetings with.

However, I don't think the original IT guy set 'em up right, because people have to book time on one of the conference room calendars, then setup a meeting with attendees from their PERSONAL calendar.

I just tested something, and if I invite the "Large Conference Room" to a meeting, I don't see the free/busy info for that calendar (see attached).

How can I set these calendars up so folks can see the free/busy information and ideally schedule their meeting from ONE invite instead of two?

    Thanks,
    Brian

Public Folders do not publish free busy information, so what you are seeing is the usual behaviour. If you want to invite resources to meetings then you need to change those public folders to resource mailboxes.

      Sembee,

If you can put on your newb hat a sec...can you point me in the right direction to get those public calendars converted to resource mailboxes?

        Sembee,

I think these steps are what I'm after:

Though I don't know if there's any way I can salvage existing public folders and "convert" them to resource mailboxes? Or do I have to start from scratch (ugh)?

yes, that is what your looking for. this is basically how i have resources set up. certian members have "send as" permissions so that when an event is scheduled, the members designated are sent an invite via the "Conference Room" and the free/busy crap shows.

to convert them? like the appointments an stuff? you could use .PSTs to do it i suppose... set the clients up on separate accounts in outlook and reimport. maybe?
its easier to beg forgiveness than ask permission.

You don't need to use PST files.
Configure an Outlook client with the resource mailbox and open it up. Then open up the public folder. Change the view to "Category" and you will get a list. Copy and paste them in to the calendar of the new resource mailbox. Then change the permissions on the public folder so that no one can access it.
